I'm a facilities coordinator handling PPE orders for a warehouse operation. In the last four years, I've personally made three significant buying mistakes that added up to roughly $1,400 in wasted budget. Now I maintain our team's checklist so nobody else repeats them.
This checklist is for the cold season, when I order Timberland Pro winter work boots and the rest of the PPE that keeps our crew safe on the floor. It has seven steps, and most of them are boring. That's the point.

1. Make a hazard list before you look at a single boot
My first mistake was shopping the other way around: I picked what felt comfortable, not what was rated for our hazards. I remember buying several pairs of Skechers work boots because they were light and easy to walk in. To be fair, they were fine boots for lighter duty. They were not the right tool for a warehouse where 60-pound cartons and steel racking components move around all shift. A carton slipped off a pallet jack and hit my toe. I was lucky. The boots weren't impact-rated.
According to OSHA (osha.gov), foot protection is required when workers face risks like falling or rolling objects or electrical hazards. So I start with a simple list: falling objects? conductive hazards? wet or icy walking surfaces? chemical splash? If the answer includes impact hazards, I look for ASTM F2413-rated protective footwear before I worry about how the boot looks.
2. 'Steel toe' is not a compliance rating
This is the mistake that cost me the most. On a later order, I saw the words 'steel toe' in the description and assumed that meant OSHA compliance. Then I inspected one pair more closely and found no ASTM label. It was basically a heavy boot with a toe cap, not a documented safety shoe.
The marking matters. Look on the tongue or inside the shaft for a label that includes an ASTM F2413 reference. The standard is not one-size-fits-all; it can include codes for impact, compression, electrical hazard, and puncture resistance. I don't need every code, but I need the right one.
For our team's default order, I have standardized on Timberland Pro endurance steel toe boots because they carry the ASTM labels I need and come in waterproof versions. But I still check every pair that arrives. No label, no floor time.
3. Treat waterproofing and insulation as two separate decisions
Some of the warmest-looking boots are not waterproof. Some waterproof boots are too warm for the constant moving between heated warehouse and cold truck bays. If you buy only on insulation, you'll end up with sweaty feet in November and frozen feet in January when moisture gets in.
For wet snow and slush, look for sealed seams and waterproof materials, not just a water-resistant coating. Insulation is a comfort factor; waterproofing is a keep-your-toes-from-freezing factor. I don't consider the two interchangeable.
4. Choose the outsole for your specific floor, not for a label
'Slip resistant' on a box doesn't mean much until you know what surface you're walking on. I once wore boots with a smooth indoor outsole out to a loading dock on an icy metal step. That step won. The boots were fine for the clean warehouse floor, but not for the frozen dock plate outside the door.
Snow and mud want deep lugs. Smooth, hard, oily indoor floors want a denser rubber compound with a flatter tread pattern. On cold-weather orders, I compare outsoles for the mix of surfaces our people actually cross, including the walk from the truck to the dock.
5. Try them on the way you will use them
This sounds basic, but it's where bulk orders go wrong. A safety boot that fits with a thin sock may be too tight with the wool sock your crew wears in December.
Have your sample tested at the end of the day, when feet are slightly swollen, and walk in them on stairs if you can. Bend your knees, crouch, and check that the heel does not lift and the toe box doesn't pinch. If you are ordering for a team, order a sample pair first. One return shipping charge can eat up the so-called savings from guessing sizes.
6. Protect the boots before the first wear, not after the first puddle
I ruined a pair of otherwise good winter boots by ignoring this step. The spec sheet said waterproof, so I assumed the leather could handle road salt and slush on its own. It couldn't.
Before the first wear, apply a waterproofing treatment appropriate for the boot material. Let it dry fully. Reapply it a few times during the season, especially after cleaning. When boots get wet, let them dry slowly at room temperature with newspaper inside. Don't put them on a high-heat dryer or next to a radiator, because that breaks down the membrane and the glue.
7. Don't let the boots steal the whole checklist
A full PPE order includes the stuff people forget because it doesn't feel seasonal. For us, that's eye and ear protection.
If your people are near chemical splash, flying particles, or bright work lights, supply marked safety eyewear. We order lab safety glasses with side shields for the maintenance lab, and anti-fog options for people moving between cold and warm areas. The mark to look for is ANSI Z87.1. If workers wear prescription glasses, get over-glasses instead of letting them choose between bad vision and eye protection.
Hearing protection is another quiet problem. One question I get every winter is how to clean earplugs properly. Clean reusable earplugs with warm water and mild soap. Gently squeeze the soapy water through them, rinse, then press out the extra water. Let them air-dry completely before you put them back in a case. Do not soak them in alcohol, which can break down the foam. They need attention just like the boots do. Check whether they still spring back; replace them if they don't.
One last thing: track the dates
I keep a PPE log now, even if it's just a spreadsheet. Each pair of boots has a purchase date, and each pair of safety glasses and earplugs has a replacement date. It's easier to spot a worn-out boot before it fails than to file the incident report after.
Standards and product specs change. This was accurate as of January 2025, but verify current ASTM and OSHA requirements before you buy. Five minutes of verification beats five days of correction.
